About this policy

Adcept Marketing (ABN 73 952 597 505) is a digital marketing and AI automation agency based in Melbourne, Victoria. In this policy, “we”, “us” and “our” mean Adcept Marketing. This policy explains how we collect, use, share and protect your personal information. It applies when you visit adceptmarketing.com.au, fill in one of our forms (including Facebook and Instagram lead forms), call us or our AI receptionist, or deal with us as a client or prospect. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

We only collect what we need to respond to you and provide our services. This usually includes:
  • Contact details: name, email, phone number, business name, job title and business address or suburb
  • Business details: your industry, practice or company size, services you offer and what you’re looking for help with
  • Form answers: anything you type into our website or lead forms
  • Call information: if you call our AI receptionist or demo line, your phone number, a recording of the call, a transcript and a short summary
  • Billing details: for clients, invoicing details. Card payments are processed by Stripe and we don’t store your full card number
  • Website and ad data: IP address, device and browser type, pages viewed and how you reached us, collected through cookies and tracking pixels
We don’t ask for sensitive information such as health details. If you mention it on a call or form, we’ll only use it to respond to your enquiry. You can deal with us anonymously or under a pseudonym where that’s practical, but we usually need your name and contact details to help you.

How we collect it

We collect personal information mostly from you directly, when you:
  • Submit a lead form on Facebook or Instagram (Meta passes your answers to us)
  • Fill in a form, book a call or chat on our website
  • Call us, or call our AI receptionist or demo number
  • Email, message or meet with us
  • Become a client and complete our onboarding forms
We may also collect business contact details from public sources, such as business websites, Google Business listings and business directories, or from data providers. We use this only to contact businesses about services relevant to them.

How we use it

We use your personal information to:
  • Respond to your enquiry and follow up by phone, email or SMS
  • Give you a quote, demo or proposal
  • Set up and deliver our services, including AI receptionists, CRM systems, ads and websites
  • Send invoices and manage payments
  • Send you marketing about our services (you can opt out at any time)
  • Measure and improve our website, ads and services
  • Meet our legal and tax obligations
We won’t use your information for anything unrelated to these purposes without your consent, unless the law allows or requires it.

AI, call recordings and automated decisions

We use AI tools in our business, including AI voice agents that answer calls. If you call one of these numbers, you’ll be speaking with an AI, not a person, and the call is recorded and transcribed. You’ll be told this at the start of the call. If you’d rather not be recorded, you can hang up and contact us by email instead. We use recordings, transcripts and summaries to handle your enquiry, pass booking requests and messages to the right person, and improve how the AI responds. Our AI tools help answer questions, capture details and summarise calls. They don’t make decisions that significantly affect your rights or interests, such as whether you can access a service. Those decisions are made by people at Adcept or, where we run a service for a client, by that client.

Marketing and opting out

We may send you emails, SMS or calls about our services if you’ve asked us to contact you, you’re a client, or your business details are publicly listed and our services are relevant to your business. Every marketing email includes an unsubscribe link, and you can reply STOP to any SMS. You can also email us to opt out. We’ll action your request promptly and stop sending you marketing.

Who we share it with

We don’t sell your personal information. We share it only with:
  • Our team and contractors, who need it to do their work and are bound by confidentiality
  • Software providers we use to run the business, such as our CRM (GoHighLevel), AI voice and automation tools, email and SMS platforms, cloud storage, and payment processing (Stripe)
  • Advertising platforms such as Meta and Google, to run and measure our ads
  • Our clients, where we collect information on their behalf (for example, a booking request taken by an AI receptionist we run for a dental practice goes to that practice)
  • Professional advisers, such as our accountant, or where the law requires it
Some of these providers store or process data outside Australia, including in the United States and Europe. We choose reputable providers and take reasonable steps to make sure they protect your information.

Cookies and tracking

Our website uses cookies and similar tools, including the Meta Pixel and Google Analytics, to understand how people use the site and to show and measure our ads. You can block or delete cookies in your browser settings, though some parts of the site may not work as well. You can manage ad preferences in your Facebook, Instagram and Google account settings.

Security and how long we keep it

We store your information in secure, password-protected systems and limit access to people who need it. We keep personal information only as long as we need it for the purposes above, or as long as the law requires (for example, financial records for tax). After that, we delete or de-identify it. If a data breach is likely to cause you serious harm, we’ll notify you and the Office of the Australian Information Commissioner as required by law.

Access, correction and complaints

You can ask to see the personal information we hold about you, or ask us to correct or delete it. Email us and we’ll respond within 30 days. We may need to confirm your identity first. If you have a privacy concern or complaint, contact us first and we’ll try to resolve it within 30 days. If you’re not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
