Challenge

HireCon’s lead management process depended heavily on one person.

Every new enquiry had to be called manually to determine whether the contact was:

  • A candidate looking for work
  • A client looking to hire

Only after that first conversation could the lead be moved into the correct GoHighLevel pipeline and begin the relevant welcome and prequalification sequence.

HireCon’s director, Guy Cambridge, was responsible for making every one of these calls. With no wider sales team handling first-call qualification, he became the main constraint on speed-to-lead.

This created two connected operational problems.

Fresh Leads Required Immediate Manual Attention

Every new contact depended on Guy being available to call, qualify and classify them.

When other business priorities required his attention, lead response could be delayed. The CRM automation already in place could not begin until someone had first identified the lead correctly.

Older Lead Data Remained Untouched

HireCon also held a backlog of older contacts sourced from Google Business Profile, websites and other channels.

These records represented potential candidates and clients, but there was not enough capacity to work through them manually while also responding to fresh enquiries.

The central issue was not a lack of leads. It was that the entire first-call qualification process depended on the availability of one director.

Our Solution

Adcept Marketing designed an AI voice automation system around HireCon’s existing lead management process.

Rather than replacing GoHighLevel or rebuilding the CRM, the solution was designed to work with HireCon’s current pipeline structure.

Two separate AI voice agents were created:

  1. A Fresh Lead Qualifier
  2. An Old Data Re-engagement Agent

Each agent was given one clearly defined role, conversation style and success outcome.

This approach allowed HireCon to automate routine qualification while keeping human involvement available for conversations that were uncertain, commercially important or specifically requested by the contact.

The system connected Twilio, n8n and GoHighLevel to create a single workflow covering:

  • Outbound calls
  • Lead qualification
  • CRM stage updates
  • Task creation
  • Human escalation
  • Call transcripts
  • Call recordings
  • Cold-data re-engagement

About the Project

Removing the First-Call Bottleneck with AI Voice Automation

Client: HireCon

Industry: Recruitment and labour hire

Services Provided: AI Voice Agent Automation, GoHighLevel CRM Automation, n8n Workflow Automation, Lead Qualification, Pipeline Automation and CRM Integration

HireCon needed a faster way to qualify new enquiries without placing every first call on its director. Adcept Marketing designed two purpose-built AI voice agents that qualify fresh leads, re-engage older contacts and write every outcome directly into HireCon’s existing GoHighLevel CRM.

Client Overview

HireCon is an Australian labour hire and recruitment business connecting trade candidates with companies looking to hire.

The business manages its lead flow through GoHighLevel, with separate pipelines for Fresh Leads, Clients and Candidates. New enquiries first enter the Fresh Leads pipeline before being identified, qualified and routed into the appropriate recruitment journey.

Implementation

Fresh Lead Qualification Agent

The first AI voice agent was designed to respond when a new opportunity entered the Fresh Leads → New stage in GoHighLevel.

The agent calls the new contact and determines whether they are looking for work or looking to hire.

For candidates, it captures relevant details such as:

  • Trade
  • Location
  • Licence
  • Availability

For clients, it gathers information such as:

  • Hiring requirement
  • Site location
  • Trade required

Once the conversation is complete, the agent moves the opportunity into the correct GoHighLevel stage.

That stage change then activates HireCon’s existing welcome and prequalification email sequences.

This removed the need for HireCon to manually complete the same first-call classification process for every new enquiry.

Client and Candidate Routing

Correct routing was essential because clients and candidates follow different journeys.

A candidate seeking work should not receive the same follow-up as a client looking for tradespeople. The AI agent therefore acts as an initial qualification layer before any audience-specific automation begins.

After identifying the contact’s intent, the workflow updates the existing CRM record rather than creating a separate database or disconnected process.

This keeps each contact in the appropriate pipeline and allows HireCon’s established email automation to continue from the correct stage.

Human Escalation Workflow

The system was not designed to make every decision without oversight.

Where the contact’s intent is unclear, the conversation contains a high-value signal or the person asks to speak with someone directly, the agent creates a task for Guy.

This allows routine qualification to be handled automatically while keeping important or ambiguous opportunities under human control.

Instead of reviewing every new enquiry, Guy can focus on the smaller number of contacts where personal involvement adds the most value.

Old Data Re-engagement Agent

The second AI voice agent was created specifically for HireCon’s backlog of older contacts.

These calls use a lower-pressure approach suited to people who have not recently engaged with the business. The agent checks whether the contact is still looking for work or still needs to hire.

Based on the response:

  • Interested contacts are returned to Fresh Leads → New
  • Contacts who are not interested are marked as lost
  • Invalid or disconnected numbers are flagged for data cleanup

Interested contacts then re-enter HireCon’s standard qualification and nurture process.

This gives the business a practical way to work through older CRM data without requiring the director to call each record manually.

Separate Agents for Separate Conversations

HireCon’s fresh and cold contacts require different types of conversations.

A new enquiry is warmer, more urgent and usually expects a prompt response. An older contact requires a softer approach and a different measure of success.

Using one agent for both purposes would have created conflicting conversation styles and workflow goals.

Adcept Marketing therefore separated the two functions and assigned a dedicated Twilio number to each agent.

This helped preserve the right tone for each call type while keeping fresh-lead and cold-outbound calling activity operationally separate.

n8n Workflow Orchestration

n8n manages the movement of information between the calling system and HireCon’s CRM.

The workflow coordinates:

  • The call trigger
  • The AI conversation hand-off
  • Lead outcome processing
  • GoHighLevel stage changes
  • Task creation
  • Transcript attachment
  • Recording attachment

This ensures the result of each call becomes an actionable CRM update rather than remaining inside a separate voice platform.

The automation was designed so HireCon’s existing CRM remains the centre of the operation.

GoHighLevel CRM Integration

GoHighLevel continues to function as HireCon’s single system of record.

The AI agents act on the CRM’s existing pipeline architecture instead of replacing it. Lead stages, tasks, contact histories and follow-up sequences remain visible within the same system the business already uses.

This avoided introducing another platform for the team to manage and preserved the value of HireCon’s existing CRM automation.

Call Logging and Contact History

Every AI call is recorded against the relevant GoHighLevel contact.

The CRM timeline includes:

  • The call outcome
  • A conversation transcript
  • The call recording
  • Any resulting task
  • The updated pipeline stage

This gives HireCon a clear record of what was discussed and why a lead was routed, escalated or closed.

The team can review previous conversations without relying on handwritten notes or separate call records.

Delivered Solution

A dual-agent AI voice system designed to handle both fresh leads and cold/legacy data, using n8n, Twilio, and GoHighLevel to automate qualification, intent detection, CRM routing, follow-ups, and human escalation.

Key Capabilities

  • Dual AI voice agents for fresh and cold lead outreach
  • Automated lead qualification & intent identification
  • Candidate and client information capture
  • GoHighLevel pipeline, opportunity & task automation
  • Intelligent routing with human escalation for high-value enquiries
  • Separate Twilio calling flows for fresh and re-engagement campaigns
  • Call transcripts and recordings automatically logged to CRM
  • Invalid-number and lost-opportunity handling
  • Automated re-entry into existing nurture workflows

Business Impact

The AI voice automation removed the need for Guy to personally make the first qualification call on every fresh lead.

He now receives a task only when the agent identifies uncertainty, a potentially valuable opportunity or an explicit request to speak with a person.

This gives HireCon a more focused use of the director’s time while allowing routine lead classification to continue without depending on his immediate availability.

The system has also created a structured process for working through older CRM data that previously remained idle.

Operational improvements include:

  • Faster initial contact with fresh leads
  • Reduced dependence on one person for qualification
  • Less repetitive manual calling
  • Clearer client and candidate routing
  • More consistent CRM updates
  • Better visibility into every call outcome
  • Automatic escalation of important opportunities
  • A practical process for re-engaging cold contacts
  • Cleaner CRM data through invalid-number identification
  • Continued use of HireCon’s existing pipelines and email sequences
  • More capacity to manage lead volume without expanding the first-call workload

HireCon plans to track measures such as time to first call, calls completed without escalation, leads successfully routed and hours saved once the agents have been operating long enough to provide reliable data.

Technology Stack

Core Platforms: GoHighLevel · n8n · Twilio

AI & Voice: AI Voice Agents · Conversation Transcription · Call Recording

Automation: CRM · Lead Qualification · Sales Pipeline · Task & Workflow Automation

Industry: Recruitment CRM

Key Takeaways

  • HireCon’s main constraint was first-call capacity, not lead volume.
  • Two focused AI voice agents were more appropriate than one general-purpose agent.
  • Fresh leads and cold contacts required different tones, numbers and success criteria.
  • GoHighLevel remained the single system of record throughout the implementation.
  • Human involvement was retained for uncertain, high-value and requested conversations.
  • The system expanded HireCon’s qualification capacity without requiring the director to personally call every contact.

Conclusion

Adcept Marketing helped HireCon remove a major operational bottleneck by automating the first stage of lead qualification and cold-data re-engagement.

The finished system connects AI voice agents, n8n, Twilio and GoHighLevel around HireCon’s existing recruitment process. Fresh leads can now be contacted, qualified and routed automatically, while older contacts can be worked through in a controlled and measurable way.

Rather than replacing the human side of recruitment, the automation gives HireCon’s director more time to focus on the conversations that require judgement, relationship-building and commercial attention.
